Terms and Conditions

At Everest Chopper, every journey into the skies is designed to be both safe and unforgettable. Whether you are soaring above the Himalayas, heading toward Everest Base Camp, or flying into remote regions for a special purpose, we are committed to delivering a reliable and seamless experience. These Terms and Conditions are created to establish a clear, transparent understanding between you and us, so that every aspect of your journey is predictable and well-managed.

We formulate these terms in a pragmatic and simple way. Every heading begins with an introduction, which gives you some idea about what follows. You are obligated to adhere to all the conditions stated below during your booking or usage of our services.

By using our services, you acknowledge that you have read, understood, and agreed to these Terms and Conditions.

Introduction to Services

We operate in the highly regulated industry of aviation, where everything boils down to safety and efficiency. The services we offer are based on the necessary permits, which ensure that each of our flights complies with both national and international aviation requirements, allowing us to fly in such difficult terrain as the Himalaya mountains.

Our experience in both tourism and emergency operations means we are equipped to handle a wide range of flight requirements with professionalism and care. Whether it is a scenic experience or a critical rescue mission, our services are built on precision and responsibility.

  • Authorized to perform scenic flights, charters and rescue operations
  • Bookings made by agents or directly are eligible for the same services
  • Covers Nepal, Tibet and Bhutan operations

Services may also include VIP transfers and special event operations when requested and approved.

Scope of Services

Our helicopter services can be tailored to meet your specific needs. We offer solutions that combine efficiency, convenience and unforgettable experiences. Safety, logistics and environmental conditions are carefully considered when planning each service.

Due to the nature and limitations of mountain aviation, services are still subject to external factors, such as weather conditions, airspace regulations, and permit approvals. Flexible service is an important part of the mountain aviation experience.

  • Scenic helicopter tours in Nepal (Everest, Annapurna, Langtang)
  • Tours to Tibet and Bhutan from across the border
  • Charter flights for private charters and corporate flights
  • Special missions and aerial filming
  • Rescue helicopters for emergency situations
  • Weather, permits and approval of airspace are subject to change
  • Safety may require changes to routes and schedules

All flights are subject to government approvals and may require additional permits for restricted areas.

Booking and Payment Terms

Our operations team and you will both benefit from a smooth booking process. All clients are encouraged to carefully review their booking before confirming. This will help prevent any misunderstandings in the future.

Payments allow us to confirm your reservation, as well as allocate aircraft, crew and permits in accordance with the payment. Kindly note that there may be variations in prices due to external factors and cost considerations, which are beyond our control.

  • Booking may be done online or via approved agencies
  • Advance payment (part/total payment) may sometimes be needed
  • Booking is confirmed after receiving payment
  • Fuel cost, tax, and currency exchange rate may influence prices
  • It is important to verify booking details from the client's end

All payments are non-transferable unless specifically approved by Everest Chopper. Payment confirmation emails serve as the official receipt.

Cancellation Policy and Refund Policy

Sometimes travel plans may change unexpectedly, particularly if traveling through the mountains. This cancellation and refund policy has been created with the above scenarios in mind.

The refund eligibility is determined by the date of cancellation and the type of service booked. All cancellations should be submitted in writing and with clear communication.

  • You must cancel in writing
  • Refunds are dependent on the timing and type of service
  • Charges for late cancellations
  • No refunds for missed or cancelled flights
  • After the service has begun, there is no refund
  • Reschedules or refunds are possible in the event of weather/technical cancellations

Partial refunds may be considered in exceptional circumstances at the discretion of Everest Chopper management.

Weather and Flying Conditions

Weather is one of the factors that need to be considered while flying in regions with mountains, such as Nepal. Flexibility is necessary because weather conditions can change very quickly, as can wind conditions.

All flight-related decisions are made with safety as the top priority. While this may occasionally result in delays or changes, these decisions are always made in your best interest.

  • Flights may be delayed, rescheduled, or canceled
  • Decisions made solely by Everest Chopper
  • Weather includes visibility, wind, and safety factors
  • Clients must keep flexible schedules

Everest Chopper is not responsible for any losses, additional costs, or inconvenience caused by weather-related delays or cancellations.

Responsibilities of Passengers

For a smooth ride, it is essential that passengers cooperate with the flight crew. This will help us serve you better.

  • Provide correct personal information
  • Valid ID cards, documentation, and permits
  • Follow the instructions of your pilot and crew members
  • Be punctual when arriving at the airport
  • High altitudes demand good health
  • Failure to do so can result in denied boarding

Passengers should reveal their health problems that could pose a risk to flight safety, such as pregnancy, cardiac disorders, or difficulty moving around.

Baggage Policy

Weight and balance restrictions on helicopter flights directly affect safety and performance. This is why the baggage allowances must be strictly adhered to by all passengers. Packing light is important to ensure that the boarding process will be smooth and you'll have a good flight.

  • Limitation of baggage allowance per passenger
  • The amount of excess baggage can be restricted
  • Dangerous Items strictly prohibited
  • Baggage is subject to inspection

Oversized or fragile baggage must be approved in advance. Everest Chopper is not responsible for damage to personal items during transit.

Health and Safety Considerations

Individual responses to altitude can vary. For a safe and comfortable experience, it is important to prepare and be aware. We take every precaution, but we encourage passengers to check their own health and seek professional advice if necessary before embarking on a journey.

  • Consult a doctor before traveling if necessary
  • Altitude sickness is not your fault
  • Oxygen may be available for support
  • Inform your doctor about any medical conditions you may have in advance

Passengers are responsible for their own medical insurance and must carry necessary medications.

Rescue Missions

Rescue missions are carried out in a professional, urgent, and verifiable manner. These tasks are usually crucial, and everything should be done to guarantee safety and genuineness.

All rescue missions are supposed to be verified to avoid any abuse of the system. Insurance is sometimes needed.

  • Authorized government rescue missions
  • Weather and feasibility may vary
  • Insurance Coverage Required (where applicable)
  • Rescue mission requests should be verified
  • Misrepresentation of situations may result in legal proceedings

Rescues may come with added costs that are not included in regular bookings.

Travel Documents and Permits

Documentation is crucial, particularly for travel to restricted areas or international destinations. Having incorrect or incomplete documents can prevent your participation in your journey.

  • Travel documents: a valid passport for international travel.
  • Visa and other permits: These are obtained by the client himself/herself.
  • Support is provided, but it cannot be guaranteed.
  • In case you lack the necessary documents, the service could be denied.

Everest Chopper does not take any responsibility in case of flight denial or delay because of a lack of or an error in travel documents.

Flexibility with regards to time and itinerary changes

Mountain flying requires flexibility. Adaptations are sometimes necessary for safety when conditions change quickly. Our goal is to offer the best alternatives possible whenever changes are made, so that your experience is as smooth as it can be.

  • Itineraries should be considered as guidelines and not fixed plans
  • Weather and Operations
  • Other arrangements may be made
  • Major changes may incur additional costs

Changes may result in additional charges depending on route, permits, or aircraft availability.

Additional Fees and Costs

It is possible that there will be additional costs when there are unexpected delays or changes. Preparing for such scenarios can reduce stress.

Such costs are usually beyond our immediate control, and thus the client is the one who should bear them.

  • Delays
  • Transportation, accommodation, and food costs
  • Alterations in permits can lead to additional fees

Refund Not Available for Unused Services

A service that is partially utilized is deemed fully utilized. This policy follows standard travel and aviation practices. We urge all clients to plan their schedules carefully to ensure that they do not miss any service.

  • Missed the flight due to late arrival
  • Voluntary withdrawal
  • Early trip termination
  • You can cancel any unused service

Booking Amendments and Transfers

We do everything we can to accommodate changes. However, operational constraints and scheduling restrictions may limit what changes can be made.

  • Advance notice increases the likelihood of successful amendments
  • Must be requested in writing
  • Subject to availability
  • Transfer allowed with approval
  • Last-minute changes may not be possible

Changes are subject to applicable fees and the availability of aircraft.

Late Arrival and No-Contact Policy

Timeliness is critical in aviation operations, where schedules are closely coordinated. Delays from one passenger can affect multiple flights and clients. Arriving early and keeping in touch with our team is highly recommended.

  • Late arrival may cancel the booking
  • No refunds for non-contact situations
  • Failure to arrive on time may result in forfeiting the booking without a refund.

Authority of Pilot and Crew

It is the pilot and crew's responsibility to ensure that every flight is safe. These decisions are made based on their experience, education, and the existing situation.

  • All passengers should show respect for the instructions.
  • Pilots have complete control over the flight operations.
  • The flight could be canceled or adjusted.
  • Kindly comply with the instructions.
  • Refusal of service because of inappropriate behavior.

Third-Party Services

There might be third-party companies assisting in some areas of your travel, such as accommodation and transportation. Although we carefully select partners, they remain independent.

  • Includes hotels, transport and agencies
  • No liability for failures of third parties
  • External delays not our responsibility

Risk Recognition

There are inherent risks to traveling in high-altitude and remote regions. These risks cannot be eliminated. Accepting and understanding these risks is an essential part of any journey. Booking with us means you accept these terms and conditions and that you will act responsibly.

  • High-altitude and remote terrain hazards
  • Unpredictable weather
  • Medical access is limited
  • The client accepts the inherent risks

Currency, Taxes and Charges

Currency exchange rates, applicable taxes and other variables can affect the outcome of financial transactions. Transparency on these issues helps to avoid confusion in the booking process. Any additional charges incurred by the client are their responsibility.

  • Prices in local currency or foreign currency
  • Exchange rates are subject to change
  • Taxes or fees may be applicable
  • Clients pay bank charges

Children and Minors

To ensure the safety of minors, extra care and supervision are required. It is recommended that the parents take complete responsibility for escorting the kids themselves. Depending upon the type of flight, there may also be some safety measures to be taken care of.

  • The children below 18 years of age have to be escorted by an adult
  • There may be some other safety measures to be taken care of

Communication and Notice

Proper communication is vital to avoid misunderstandings in matters raised. Written notices are official records of any updates or changes. Our team encourages clients to communicate clearly and promptly with us.

  • All changes must be made in writing
  • Includes cancellations, amendments, and alterations
  • Email or WhatsApp confirmations are considered valid notices.

Liability and Insurance

We prioritize safety and professionalism, but certain situations are beyond our control. Insurance coverage adds an extra layer of protection to your trip.

  • Travel insurance is highly recommended, particularly for those traveling to high altitudes
  • Liability for events that are beyond our control
  • Personal belongings are not responsible
  • Travel Insurance (incl. evacuation)

Force Majeure

Unexpected events can disrupt travel plans with little or no warning. The situations are out of our control, and we must handle them with flexibility and understanding. While we will do everything possible to help, such events can affect service and schedules.
